Introduction
PortAI ("PortAI," "we," "us," or "our") provides an AI voice agent that answers inbound phone calls on behalf of the businesses we serve ("Clients"). This Privacy Policy describes how we collect, use, and protect information when you interact with a PortAI-powered phone line or visit getportai.com.
Information we collect
- Call information: audio of the phone call, a written transcript, the caller's phone number, and the date and time of the call.
- Information you provide on a call: details you share with the agent such as your name, mobile number, appointment preferences, and the reason for your call.
- Website information: if you submit our quote request form, we collect the information you provide (e.g., name, business name, phone, email).
- Technical information: standard server logs (IP address, user agent, timestamps) when you visit getportai.com.
How we use information
- To answer calls, schedule appointments, and complete the requests you make.
- To send the SMS messages you ask us to send (booking links, confirmations, reminders, pickup notifications).
- To deliver call transcripts, summaries, and analytics to the Client whose number you called.
- To operate, secure, and improve the PortAI service.
- To respond to your questions and provide support.
SMS / Text Messaging
PortAI and the businesses we serve collect mobile phone numbers to send appointment booking links, appointment confirmations and reminders, and order or pickup notifications, only to individuals who have requested these messages during a phone call and provided their number. We do not sell, rent, or share mobile phone numbers or SMS opt-in consent with any third parties for marketing or promotional purposes. Mobile information is used solely to deliver the messages the customer requested. Message frequency varies based on your interactions. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance.
Sharing of information
We share call information and transcripts with the Client whose phone line you called, so they can serve you. We use a small number of vetted service providers (telephony, SMS delivery, cloud hosting, and AI infrastructure) that process information on our behalf under confidentiality obligations. We do not sell personal information, and we do not share mobile phone numbers or SMS opt-in consent with third parties for their own marketing.
We may disclose information when required by law, to protect our rights, or in connection with a corporate transaction (e.g., merger or acquisition), with appropriate safeguards.
Data retention
We retain call recordings, transcripts, and related records for as long as needed to provide the service to our Clients and to comply with legal obligations. Clients may request deletion of records associated with their account. You may request deletion of your personal information by emailing the address below.
Security
We use industry-standard administrative, technical, and physical safeguards to protect information, including encryption in transit and access controls on stored data. No system is perfectly secure, but we work hard to keep yours safe.
Your choices
- You can reply STOP to any SMS to opt out of future text messages.
- You can ask us not to record future calls.
- You can request a copy or deletion of your information by emailing us.
Children
PortAI is not directed to children under 13 and we do not knowingly collect personal information from them.
Changes
We may update this Privacy Policy from time to time. We'll update the "Last updated" date above and, when appropriate, notify Clients of material changes.
